Guide: How to Use Google Tasks Effectively

After years of letting go of tasks on the Gmail website, Google finally decided to give it due credit. Last week, Google launched a standalone app for Google Tasks on both iOS and Android. It’s called Google Tasks and it’s available for free. Currently, Google Tasks doesn’t have a Windows app and the way Google has handled Keep, I’m not expecting an app anytime soon. You need to access Google Tasks from Gmail website and some other ways listed below. Fortunately, it is not buried, but it is given a prominent position on the right side in the new Gmail design. While Google Tasks is a simple app, it is packed with featuresAnd this one features may not be immediately apparent, due to the app’s minimalist design. We will discover these not so obvious features, talk about how to use them correctly and discuss another tips and tricks to help you get the most out of this revamped to-do tool. Here we go.

1. Create multiple lists

By default, Google adds all new tasks to the My Tasks list. However, if you like to organize things, you can create several lists. For example, you can have a separate list of groceries and movies. Follow these steps to create a new list: Step 1: Open the Google Tasks app and tap the horizontal three-bar menu in the lower left corner.

Step 2: Then tap Create New List. You will be asked to enter the name of the list. Tap Done in the top right corner.

Tip To switch between the lists, tap the horizontal three-bar menu and select your list from the menu.

2. Complete a task

There are two ways to complete a task. The first simply involves tapping the little round icon next to the task. Once you tap it, the task will be taken to the Completed list below all tasks. The second method requires you to swipe the task from left to right to complete it. Also read: How to Easily set reminders for all Android notifications

3. Move tasks from the completed list to the normal list

After completing a task, we often have to redo it. Instead of creating a new task, you can return it to normal tasks from the world of completed tasks. To restore the completed task as a task, just tap the check mark next to it.

4. Delete all completed tasks

If you are bothered by the completed tasks, you can delete them all with just one tap. To do this, tap the three-dot icon in the bottom right corner and select Delete all completed tasks. This only removes the completed tasks from the current list. You have to manually repeat it for each list.

5. Rearrange tasks

By default, tasks are arranged in the order you add them. This means that new tasks are added at the top. However, you can rearrange the tasks to your preference. To do this, hold and drag the task to a new position. Also read: 4 iPhone apps to manage emails, calendars and to-do lists

6. Add multiple subtasks and notes

Fortunately, Google Tasks not only lets you add notes, but you can also add subtasks to your main task. However, you cannot add photos or other images in notes. Tap a task to add notes and subtasks. You will be taken to a new screen. Enter your notes in the Add details section. In the same way, add your subtasks under Add subtasks. Both the subtasks and the notes are visible on the main screen.

7. Add notes to subtasks

While you are creating a subtask, you will notice that there is no provision for taking notes for it. However, if you tap on a subtask on the main task screen, you will get the Add details and date section.

8. Use multiple accounts

As with other Google products, you also get the option to switch between multiple accounts in Google Tasks. To do this, tap the three-bar menu at the bottom. Then tap the small down arrow next to the email. All your connected Google accounts are listed here. Tap the account you want to use.

9. Move the task to a new list

If you thought you needed to delete a task and then recreate it to move it to another list, you are wrong. Without deleting a task, you can easily move it. To do this, tap the task you want to move to another list. On the next screen, tap the list name and select the new list from the menu.

10. Create tasks from Gmail

In the new Gmail, Google Tasks will be given a prominent place on the right. But that’s not the end of the story. You can now drag and drop emails to the tasks to convert them directly into task list items. Also check: 10 Gmail Tips and Tricks for Android to improve your email game

As with Google Calendar, which allows you to create events without opening the app, you can also create tasks directly from Google. To do this, just Google ‘t your task’. When you hit the enter key, Google will add the term present after t as your task. For example, if you want to add buy milk as your task, google ‘t buy milk’.

12. Open Google Tasks on PC

There are three ways to view your tasks on the PC.

Method 1: Using Gmail

Open the redesigned Gmail website and click the Tasks icon on the right. Here you can view and edit your tasks.

Method 2: Using Chrome Extension

Google Tasks also has a simple Chrome extension. Once installed, you can access and edit your tasks from any page.

Method 3: Using Tasks Web Page

Not many people know that Google Tasks has a web version. It’s not fancy, but gets the job done. However, an update is in the pipeline. Until then, use it to access tasks on your PC.
